Event Logistics Associate at 80%

Based in Geneva, starting date: 2 March 2020 or earlier

The Middle East and North Africa division runs several programmes to prevent, mitigate and resolve armed conflicts in the region. Active across the whole region, the team is mainly based in Geneva, Beirut and Tunis. The Event Logistics Associate will provide logistical support to operations on assigned projects, and assume related administrative tasks.

The Logistics Associate will have the following responsibilities:

  • Organise all travel arrangements for staff, consultants and visitors, including flights, accommodation, visas, insurance and ground transportation in Switzerland and abroad;
  • Assist in the organisation of meetings in Switzerland and abroad;
  • Ensure the smooth running of meetings through on-site support when necessary;
  • Negotiate rates  and prepare contracts with external providers (e.g. hotels, audio equipment providers, carriers);
  • Collect and review related invoices;
  • Prepare internal (e.g. travel record, purchase order, meeting form, participant list) and external (e.g. rooming list) supporting documents.

Qualifications: The candidate must have at least 2 years of experience in an administrative support function, including in travel arrangements, ideally in an international environment. The candidate must be fluent in written and spoken English and French. Arabic language skills are a plus.

Personality: The successful candidate will demonstrate flexibility, and be willing and able to travel. S/he should be able to manage competing priorities and have a strong team spirit.
